UF Health Shands Arts in Medicine is seeking an Administrative Specialist to add to our dynamic team of arts in health administrators.

Full time | Mon-Fri, 8:30am-5:00pm
The Administrative Assistant is responsible for office operations and administrative support of the Arts in Medicine program including answering phone calls and responding to visitors’ questions. Serves as frontline associate providing communications and assistance for Criser Cancer Resources Center (CCRC) internal and external visitors. Provides administrative support for team members including fiscal support and invoicing with the Associate Director of Operations, oversight of onboarding checklist of incoming artists, volunteers, and students with the Associate Director of Programs, assisting coordinators with assessment and daily management of census database, patient referrals, and other program needs. Schedules appointments related to program operations and maintains program and staff calendars. Provides operational support of the Arts in Medicine programs including inventory management such as managing technology inventory, supply ordering and distribution, and daily monitoring of patient referrals and program needs. Provides general program assistance and support for Shands Arts in Medicine administrative staff. Provide program communication in the form of e-mail, letters, reports and invoices. Creates and maintain filing systems. Manages account information and bookkeeping. Responsible for maintaining an inclusive work environment that is free from discrimination and harassment. Performs administrative responsibilities adjacent to the Communications and Grant Writing Specialist as assigned by the Associate Director of Operations and Associate Director of Programs.
Qualifications
Minimum Education and Requirements: Associate’s degree (or commensurate professional experience) and a minimum of 2 years of professional experience in an administrative or operational support staff role. Demonstrates positive and effective communication and excellent writing skills. Ability to work effectively in a team environment and to work independently to accomplish assigned roles and tasks. Proficiency in relevant computer applications and across multiple social media platforms.
